The short version
- This site sets no cookies for visitors and uses no analytics or tracking.
- When you approve or decline a request, we record your name, any comment, the time and your browser type.
- We use that as a record of what you agreed to, and don't use it for anything else.
Who we are
This policy covers approve.actrand.com, run by Actrand. We are the "controller" of the personal information described here. Our contact details are at the top of this page.
Cookies
Approval pages set no cookies and store nothing on your device. There is no analytics, advertising or tracking, and nothing is loaded from other companies. The only cookie on the site is used by our own staff when they sign in, and is never set for visitors.
When you open an approval link
We count how many times the link is opened and when, so we know you've seen it. Our web server also keeps a short log of requests (IP address, time, page and browser type) to keep the site secure. These logs are deleted automatically after 8 days.
When you approve or decline
We store:
- whether you approved or declined, and when
- the name you type, and any comment you add
- your browser type, and a scrambled (hashed) version of your IP address that can't be turned back into the address
We keep this with the request as a record of the decision, for as long as we keep the related ticket, normally the length of our contract with you plus six years. Our lawful basis is legitimate interests: keeping an accurate record of what our clients have agreed to, and performing our contract with you. The decision is also sent automatically to our own ticketing systems.
Who we share it with
- DigitalOcean, which hosts the site in its London data centre, acting on our instructions
- if we're required to by law
We don't sell or rent your information.

Under UK data protection law you can ask for a copy of your information, ask us to correct or delete it, ask us to restrict or stop using it, and ask for it in a portable format.
